Refund Policy

At OpenHearts Counseling, we are committed to offering professional care with compassion and integrity. We understand that sometimes plans change. This Refund Policy outlines the terms under which payments may be refunded for our counseling, therapy, and coaching services.

1. Session Cancellations

• 24-Hour Cancellation Notice:
  If you cancel or reschedule your appointment with at least 24 hours’ notice, you are eligible for a full refund or rescheduling without penalty.

• Late Cancellations (Less than 24 hours):
  Cancellations made with less than 24 hours’ notice may not be eligible for a refund, except in cases of emergencies or unavoidable circumstances, at the discretion of the counselor or administrative team.

• No-Shows:
  If you do not show up for your scheduled session and fail to provide notice, no refund will be issued.

2. Advance Payments and Packages

• Prepaid Sessions or Packages:
  If you have booked multiple sessions in advance, you may request a refund for unused sessions.

  • Refunds will be calculated pro-rata for the remaining sessions, minus a 10% administrative charge.

  • Any session attended will be charged at the standard individual session rate (not the discounted package rate).

• Promotional Discounts:
  Refunds on discounted packages will be adjusted to reflect the actual number of sessions used at full rate.

3. Refund Process

• All refund requests must be made via email to gibson@openhearts.in with the subject line “Refund Request – [Your Full Name]”.

• Please allow 5–7 business days for processing. Refunds will be issued via the original mode of payment wherever possible.

4. Non-Refundable Situations

• Fees for sessions already conducted are non-refundable.

• Fees paid for missed sessions without appropriate notice are non-refundable.

• Refunds will not be provided for client dissatisfaction based solely on subjective experience. If you are unhappy with your experience, we encourage you to share your feedback so we can make it right.

5. Changes to This Policy

OpenHearts Counseling reserves the right to modify this Refund Policy at any time. Updates will be posted on our website, and continued use of our services implies acceptance of any changes.
